  • Local Women’s Business Groups. Join and participate in local chapters. They have networking events and are always looking for a place like yours to host.
  • Attend industry events, conferences, or local meetups to build relationships and create referral networks.

Content marketing.

  • Start a blog on the clinic’s website and regularly publish informative articles about aesthetic treatments, skincare tips, or beauty trends.
  • Optimize blog posts for search engines to improve visibility and attract organic traffic.

A CRM system helps you manage customer information, track leads, and streamline communication. It enables you to segment your customer base, personalize marketing efforts, and track client interactions. Popular CRM software options include Zenoti, HubSpot, and Zoho CRM.

Email marketing tools allow you to create, send, and track email campaigns. These platforms easily integrate into your website to seamlessly move email signups from the website into the software.

You can manage your subscriber list, design visually appealing emails, and automate email sequences. Popular email marketing platforms include Mailchimp, Constant Contact, and Sendinblue.

Appointment Scheduling Software

An appointment scheduling tool helps streamline the booking process and manage appointments efficiently. It allows clients to book appointments online, sends automated reminders, and manages your calendar. Personally, I find this so much easier than texting a provider and figuring out when our schedules will match.

Examples of appointment scheduling software include Acuity Scheduling, Calendly, and Booker.

Customer Reviews and Reputation Management Software

These tools help monitor and manage online reviews across various platforms. You can track and respond to customer reviews, gather feedback, and maintain a positive online reputation. Platforms like ReviewTrackers, Birdeye, and Trustpilot offer reputation management features.

If you are a small spa, these tools are not as important. You can easily manage Google reviews in the Google Business Profile.

Email Automation and Personalization Software

Many businesses miss this very important opportunity to increase the number of new appointments. These tools help automate email campaigns based on triggers, events, or specific conditions. You can segment your email list, send personalized messages, and set up automated follow-up sequences.
Examples of email automation tools include Get Response, ActiveCampaign, Drip, and ConvertKit.

Analytics and Reporting Software

Analytics tools provide insights into the performance of your marketing campaigns. It’s important to track where you are getting business from and determine what channels are working and not working. You can double down if a certain advertising channel drives the bulk of your new business.
You can’t improve unless you monitor the data. You can track website traffic, user behavior, conversion rates, and other key metrics to evaluate marketing effectiveness.

Google Analytics is free.  Google changed from Universal Analytics (GA3) to GA4 in 2023. This integration on your website also requires Google Tag Manager and events set up.  If you need help with this setup, we’re here to help.

Landing Page and Funnel Builder Software (Optional)

Landing page builders help you create attractive, conversion-focused web pages for specific marketing campaigns. I typically like using a client’s website and creating dedicated campaign pages. These types of software have additional costs that may not be necessary.

You can design landing pages, set up sales funnels, and optimize them for lead generation and conversions. Tools like ClickFunnels, Unbounce, and Leadpages offer landing page and funnel-building features.

SMS Marketing Software

SMS marketing tools enable you to send targeted text messages to your clients. You can directly communicate promotions, appointment reminders, and updates to their mobile devices. Some spa software has SMS tools built in. Examples of SMS marketing software include EZ Texting, SimpleTexting, and SMSBump.

Online Review Generation Software (optional)

These tools help actively generate positive reviews from satisfied clients. You can send review requests, monitor online reviews, and improve your online reputation. Review generation platforms like Birdeye, Podium,, and Broadly offer review management features.

The specific software tools you choose will depend on your med spa’s needs, budget, and marketing strategies. Evaluating each tool’s features, pricing, and integration capabilities is important to determine the best fit for your business.
